1. How to hide an employee from the time sheet employee list.

  • Go to Contacts - Employees
  • Select the Work Assignment tab and untick the "Assignable to Time Entries" option.

2. I could not edit the line item on the invoice. Why?

  • Line items on invoices can only be edited before the invoice is sent. Once the invoice has been sent, line items cannot be modified. 
  • If you need to edit a line item, you must first cancel the invoice, redraft it, make the necessary changes, and then resend the updated invoice to the customer.

3. How can I find a quote number from a converted job.

  • Go to the completion page
  • Scroll to the bottom and you can see any related quotes.
  • Click on the quote you want to see.

4. How do I schedule more than 1 tech to a job

  • Firstly create a new appointment if you want to
  • Open the appointment to edit it.
  • While editing the appointment, select the Linked Appointment tab and press the Create Linked Appointment button.
  • Select an assignee to add to the appointment and save.
  • Repeat for each additional assignee you want to add to the appointment.

5. Why do time sheets start time changes when I put in the end time?

  • TSMPlus calculates the end time for you according to the start time and duration you entered. If you enter the end time with an existing duration, it also calculates the start time for you according to the end time and the duration. 
  • If you want to enter start time and end time and let TSMplus calculate the duration, please move duration, then enter the start time and then the end time. 

6. My timesheets time is showing aa instead of am or pm, why? 

  • That is because the start date / end date is empty, the start / end time has no date, please put in the dates before enter the time, and it will have the correct am / pm. 

7. How do I recover a deleted data record (eg. contact, product, invoice, job, order, bill)? 

  • Go to the module of the deleted record (eg. job list), on the top right drop down option besides the refresh button, select "Recycle Bin". 
  • Find and select the deleted record, then press the top right yellow "Recall" icon to recover it.  
  • Select "Recycle Bin" the top right drop down option again to exit out of recycle bin. 

8. Invoice button on the job is grey out, I can't invoice the job, why? 

  • Go to the Financial tab of the job, and check the Billing Type is selected "Billable", save the job, then try again

9. Customer ID does not auto create itself like in the old TSM, why? 

  • Different from the old TSM, Customer ID is no longer compulsory in TSMplus, it can be left empty.

10. How do I make the line space single instead of double in text fields?  

  • When typing, please press Shift + Enter at the same time instead of press Enter on the keyboard to make the text single spacing. 

11. How do I filter the job list and save the filter as a view? 

  • Click on the ... besides the column header of the field that you want to filter
  • Click on filter, setup the filter to what you are after, press the blue filter button under it
  • That will filter the job list accordingly
  • To save the filter, press the down arrow beside the top right refresh button, click on save view as
  • Enter the filter/view's name, remove the owners and users if you want others to be able to edit and view,  press save. 
  • To use the view next time,  press the down arrow beside the top right refresh button, and select the view.

12. How do I add attachments to an email ? 

  • Uploaded the document to the documents tab of your job, invoice, order or quote. 
  • When sending an email, scroll down to the bottom, press the "Add" button in the "Attachments" session. 
  • Select the file you uploaded in step 1.  

13. How do I make an employee can be assigned? 

  • Go to contacts - employee, edit the employee, go to work assignment tab, tick "Can be assigned". 

14. How do I create a job, quote, invoice or Purchase Order?

  • To create a Job, click on the Create button and select Jobs. You do not have to open the jobs module first.
  • To create a Quote, click on the Create button and select Quotes. You do not have to open the quotes module first.
  • To create an Invoice, click on the Create button and select Invoices. You do not have to open the invoices module first.
  • To create an order (Purchase Order), click on the Create button and select Orders. You do not have to open the orders module first.
  • Additionally, extra options appear here depending on which module you are currently viewing.

15. How can we assign a job to more than one people?

  • Go to the job's appointments tab
  • Press create appointment, enter the appointment details and save.
  • Repeat above for another assignee.  

16. How do i I create a Cash Receipt.

There are 3 ways to create a cash receipt

  1. If you are in an invoice, you can choose Create Receipt from the Invoice Action menu
  2. From the Cash Receipts Module and Click the + Create button and choose Receipt for this invoice.
  3. From the Cash Receipts Module and Click the + Create button and choose Receipt by invoice and select the invoice number to create a receipt for.
  4. From the Cash Receipts Module and Click the + Create button and choose Receipt and select the Customer and contact the receipt is for.

For each of the above, optionally enter the Receipt Amount (as a control total) and add any invoice line items to dispurse the payment if required.

Click Save to create the Receipt.

18. How can I disable the requirement to "Send" an invoice before I can move it to the "Sent" stage?

  1. GO to Settings > workflow rules > Invoices > Processing
  2. Switch off the "Show send email modal" and turn off "Must send email".

19. How do I invoice a customer for a job with a contractor PO that I have not as yet received the invoice for.

  • It is good practice to set the sell price on the contractors PO line items to zero. This will then ensure that when they are received to the job, they will update the jobs cost but not add to the jobs price.
  • You can find the price field on the Receiving tab of the PO line item.
  • Set the line’s Price to 0.00 on the Receiving tab; leave Unit Cost as the contractor’s cost.

  1. Go to setup - data management - codes

  3. Press the down arrow on the top right (besides Create Code), select Recycle bin
  4. Select the deleted code, then press the Recover button on top right
  5. Press the down arrow on the top right, Exit Recycle bin 

24. How to make TSMPlus emails auto Cc/Bcc an address?

  1. Go to setup (Cogs icon on top right)
  2. Go to document templates on the left menu 
  3. Select the email template you want to auto Cc/Bcc
  4. Go to the Template tab, and enter the Cc/Bcc address, save
  5. Use the template when email 

25. How to change the invoice amount after it was sent?

  1. Invoice amount is not allowed to change after the Sent stage, so you need to change it back to Draft stage to edit it. 
  2. Find the invoice in the invoice list and open the invoice 
  3. Press the down arrow besides the Paid button, press Cancel, then Re-draft the invoice, then edit the amount. 

26. How do i move an asset across to a customer so it displays in the correct customer

  • To move an asset to a different customer, you directly edit the customer on the asset record. The asset will remain at the previous location but will now be associated with the new customer.
  • You can use the Transfer button at the top of the asset record to transfer it to a nre location, however the customer associated with the asset will not be changed.
